Terms and Conditions

Your entrance to the venue or boat of RBW 2008, or use of this website (operated by registered company Anthropomorphic Representation Foundation, herein referred to as A.R.F.) is deemed as acceptance of the following terms and conditions. If you do not agree to these conditions please do not continue to use this online resource, register for any A.R.F. Services or products, or attempt to attend RBW 2008. If you have any questions, please speak to a member of A.R.F. Staff by emailing legal@rbw.org.uk

Terms Used & Meanings:
RBW – Refers to the annual event operated by the Anthropomorphic Representation Foundation. (A.R.F.).
Staff/Chairmans/Organisers – Refers to A.R.F. Staff, anyone nominated by A.R.F. Staff, and venue Staff, and nominated personnel.
Venue – Refers to  ‘The Royal National Hotel', operated by Imperial Hotels,  Russell Square, London.’
Boat – Refers to the private boat hired by A.R.F.
Hotel – Refers to ‘The Royal National Hotel', operated by Imperial Hotels,  Russell Square, London.’
Event – Refers to the venue, boat, and hotel and all encompassing activities and ticket entitlements at any time.
Member – Any individual, corporate entity, company, or group who has created an account on any A.R.F. Resource or who is attending any A.R.F. operated event including RBW.
Conbadge – An official and member unique card or identifier that is provided by  an A.R.F.
Legal I.D. - Any one of the following official documents that includes an accurate photo of the member, full given name, and date of birth. The following are the ONLY acceptable documents:-  Passport, Driving license, government issued I.D., citizen card.

1 TICKETING AND ATTENDANCE – The ticket types available at the time of registering will be described and you will be advised what accompanies each ticket type. At any point A.R.F. has the right to change any of the entitlements, privileges, prices, and any other aspect of the ticket. In the event of a significant change to the ticket entitlements then you will be offered a full refund should you no longer wish to attend, or a partial refund to a value set by A.R.F.  Tickets do not provide connections between any locations within the RBW schedule, venues, or the hotel. Tickets also do not entitle you to any drinks or food at the venue, boat, or hotel.

ConBadges must be on display at all times when within any RBW venue, boat, or Hotel. They must be offered for inspection upon entering and leaving the convention spaces (Venue & Boat). Any acts of forgery or falsification of registration information, or the Conbadge will be dealt with very seriously and may incur legal proceedings against the individual. A.R.F., Venue, or Hotel staff may revoke your right to attend or enter any A.R.F. event at any point.  Any member knowingly allowing another person to use his/her badge will have his/her membership revoked and may be removed and prohibited from the EVENT and future A.R.F. Events.

To attend any A.R.F. Event members will need to provide a legal form of photo identity that provides a accurate photo, full name, and date of birth. If you fail to provide a legal form of I.D. Then you will not be permitted to attend any A.R.F. Events until such I.D. Is provided. You will not be entitled to any form of refund or compensation if you do not provide I.D. when first requested.

If any of the information you provided at registration or have given to a member of A.R.F. Staff is found to be false then you will be removed from the venue, boat, or hotel without refund or compensation.

2. PAYMENT AND REGISTRATION.
When any individual requests any  of the different ticket type they agree to pay the full amount requested for the specific ticket type. Once a members registration request has been processed by our website or staff and the member has completed all steps needed to complete registration they will be issued a unique ticket number. Only when the member receives this confirmation is the ticket confirmed. Once the ticket is confirmed the member must then pay all funds required. The member will have 14 days from confirmation to pay a £15 deposit. If the deposit is not received then the ticket will be reallocated and the member will need to  make a new request a ticket via the website or by contacting sales@rbw.org.uk/ Once the user has had there ticket confirmed they must pay the whole amount due within 60 days. If the member fails to pay the remaining amount required then A.R.F. has the right to cancel their ticket. In the event that a ticket is canceled for reasons regarding the member failing to pay, the member will not be entitled to a refund in part or full. The only exception to these rules is when one or more of the following conditions have been met. A) The member has contacted sales@rbw.org.uk and requested an extension of the final payment due date. B) The payment system has been unavailable, in which case all final payment due dates will be amended by the required amount, C) The member has written and signed confirmation to their final payment due date.

3 AGE – The age you have stipulated on your registration MUST match your Legal I.D. The venue and the boat may wish to see your legal ID at any point or you may be refused alcohol. Anyone under 16 years of age on the 27th November 2008 will not be permitted entry to any part of RBW. Any member attending RBW who is aged 16 or 17 years of age must either have a parent or legal guardian accompanying them at all times. Alternatively a signed and notarized parental permission form with a nominated carer from the legal guardian or parent of the member may be supplied on the discretion of A.R.F. Staff. Any attempt to forge or falsify documentation relating to age or identity will result in immediate removal from any A.R.F. event and will result in the person in question being turned over to police. It is illegal to falsity or mislead staff regarding any of the above documents.

Any event flagged as 18+ will only be available to member 18 or over. A.R.F or venue staff may refuse entry to any event for any reason. Members will not be entitled to refund or compensation in any form.

4 VIDEO & PHOTOGRAPHY – Video and audio recording and photography for personal archival use will be permitted. Such recordings may be shared on personal and A.R.F. Approved websites who are non-profit websites. No video or photo or audio clip may be posted to any commercial website. Absolutely no commercial or media usage of any video, audio, or photographic recordings is allowed unless full written and explicit permission is given by  the appointed A.R.F. secretary. Please note that you must refrain from recording or photographing any person who clearly expresses that s/he does not want to be recorded or photographed. Filming of 2 Gryphon’s show, or any other event that RBW staff stipulate is prohibited. Undercover or "hidden" microphones or cameras utilized with the intention of recording are prohibited for the safety and security of our attendees. A.R.F. Have the right to use any photograph, video, or audio recording in any way they see fit. Any individual, group, company, website, or entity found breaking any of the above points will be liable to pay the maximum £5000.00 fee for a media license.

5 SEXUAL BEHAVIOUR – We will not tolerate the following within the Venue, Boat, or public areas of the Hotel: Groping in public, indecent nudity or exposure of any kind, any crude behaviour, any action that upsets any other individual at RBW, soliciting for sex, or other unacceptable behaviour deemed by A.R.F., Venue, Hotel , or Boat staff to be rude. Any member at the any A.R.F. Event, who breaks any of these above conditions and rules without reasonable excuse deemed suitable by the senior A.R.F. Staff may be removed from any A.R.F. Event. Any member who is reported to be acting in an unacceptable manner, reported as intimidating, harassing, or causing a serious nuisances to any other individual or group may be removed from any A.R.F. Event and in EVERY case where the affected party requests, the police will be involved.

Harassment will not be tolerated at RBW. Harassment includes, but is not limited to: punching, striking, verbal communication, kicking, shoving, threatening, stalking, or any close-proximity behavior that occurs that is unwanted by one or more parties. Remember that no means no and go away means go away. RBW Staff & Security will deal with any harassment complaints immediately, but they are NOT responsible for solving interpersonal problems! They are not bodyguards, and can act only when a threat is presented to one or more attendees of the event that affects the general welfare of RBW as a whole. Anyone who harasses or assaults a staff member or volunteer of A.R.F. will be IMMEDIATELY expelled from RBW, barred from attending future EVENTS, and if warranted, reported to the appropriate authorities.

6 GENERAL BEHAVIOUR - If you are 18 years old or over, you are allowed to drink alcohol at the venue or boat in moderation, but under age drinking is illegal and will not be tolerated, and could result in the eviction of the member from the premises, especially if you are found to be drunk to the point of collapse, drunken stumbling, vomiting as a result of drinking, breakages as a result of being drunk, or other drinking related nuisances, and without reasonable excuse deemed suitable by the organiser: You will be given a verbal warning about your behaviour, if you re-commit any of the above you could be asked to leave and asked not to return.

7. Use of personal details provided to A.R.F.
Any information provided to A.R.F. May be used for internal use only. Only when we have the members specific permission will it be provided or past to any 3rd party.  A.R.F has the right to use your information for its own internal uses and to keep you up to date on any A.R.F. News.

8. INDEMNITY - By purchasing or accepting a membership to RBW, you agree to indemnify and hold A.R.F., the providers of its computing facilities, the Venue, the Boat, and The Hotel and their directors and staff, from any liability for direct, indirect, consequential, incidental, special or exemplary damages resulting from any action or inaction on your or our behalf while attending RBW or other A.R.F. event. Any damages to property belonging to RBW, the VENUE, HOTEL, or BOAT caused by yourself and not under direct and specific instruction by a RBW staff member will leave you, the sole individual responsible and you will incur any costs involved.

9. EVENT CANCELLATION – A.R.F.  will refund ticket payments where possible if the EVENT is canceled due to unforeseen circumstances. If the BOAT is canceled due to unforeseen circumstances, the correct proportion of ticket costs covering the cancellation will be refunded where possible.

10. CANCELLATION
A.R.F. May cancel any part of the event or remove any service previously provided. Whilst we will endeavour to refund all members affected by any form of change to the events or services provided by A.R.F we hold the right to refund only if it does not jeopardize the future or security of A.R.F.

11. PETS – Animals will not be permitted in the VENUE or BOAT unless by prior arrangement or registered guide dogs. Please contact a member of staff to arrange this.

12. WEAPONS – Replica or real weapons will not be tolerated at the EVENT unless prior permission has been sought from A.R.F. RBW Staff & Security will have discretion as to what is considered inappropriate with regards to weapons.

13. FINAL SAY – A.R.F. staff shall have the final say in any dispute involving these rules. Anyone who is expelled from the convention for rule violation is not entitled to any form of refund or compensation.

14. CHANGE TO THESE TERMS AND CONDITIONS
At any point A.R.F. Are entitled to change, amend, remove, or alter these terms and conditions. It is the responsibility of the member to check these terms and conditions for changes throughout the year.
